
Notification of Club EGM 2026

Dear Club Members,
Notice is hereby given that an Extraordinary General Meeting (EGM) will be held on 12th September 2026 at 8am in Sportslink Function Room 1 .
The purpose of the EGM is to ratify the updated Swim Ireland Club Constitution template (attached), a requirement for the club to remain affiliated with Swim Ireland from 15 October 2026 onwards.
Summary of changes:
- Alignment to Swim Ireland Rulebook and Complaints & Disciplinary Procedures, which have also been recently revised and are available on Policies & Governance Documents - Swim Ireland.
- Updated committee requirements, with a minimum of six and a maximum of 11 committee members permitted.
- Review of membership caveats and application procedures for membership.
- Clarification on what cannot be amended by motion at an EGM.
The EGM shall be run in accordance with Swim Ireland standing orders, as amended from time to time.
Please also note:
- A quorum of 20 of the eligible voting members is required for the EGM to proceed.
- If such a quorum is not present within half an hour from the time appointed for the meeting, or if during a meeting such a quorum ceases to be present, the meeting shall stand adjourned to the same day in the next week at the same time and place or to such time and place as the club committee may determine and if at the adjourned meeting a quorum is not present within half an hour from the time appointed for the meeting the members present shall be a quorum.
- Members who are fully paid up and over 18 years of age are eligible to vote.
- No voting by proxy is allowed.
- Parents shall hold one vote on behalf of their child/children within the club. Only one parent may exercise this vote, and this must be so agreed between the parents (i.e. that is one vote only and not one vote per child). Parents who are club members may vote with this right for themselves and cast one vote on behalf of their child/children.
- Voting shall be conducted via a show of hands, which will be counted by the Secretary. The Management Committee may, however, recommend that a vote should be held in a secret ballot format owing to the context of the vote.
- Motions for a change to the club constitution must be passed by a special resolution of 75% of persons entitled to vote present at the meeting.
- The Chairperson will have a casting vote if there is an equality of votes.

Jigsaw will be visiting to deliver age-appropriate talks for our swimmers, focusing on mental health in young people, what Jigsaw does, and how to access support.
